From 4 separate licenses to 1 digital practice: how physiotherapist Sofie digitalised her entire operation with Odoo

The challenge

Sofie runs her own physiotherapy practice with a wide range of treatments: manual therapy, shockwave therapy, dry needling, pelvic floor rehabilitation, osteopathy, and medical foot care. That means many treatment types, varying durations, and an extensive patient base.

Like many self-employed healthcare providers, she was working with a patchwork of tools that didn't talk to each other: a separate website, another platform for hosting, a standalone accounting package, and yet another platform for scheduling. Wasted time, duplicate work, and very little overview.

Sofie was looking for one platform that would bring everything together, and she came knocking at ODILA's door.

Our approach: three modules in one database

We implemented Odoo as the central platform for Sofie's practice, focusing on three core modules.

Her old website no longer matched her practice. We built a completely new website on the Odoo platform: clean design, clear information about her specialities, and (crucially) direct integration with the rest of the system. No more website sitting separately from the scheduling or the patient records.

The website module went smoothly. Within about two weeks, a professional site was online that clearly communicates her expertise to (potential) patients.

Accounting

For the accounting module, we mapped out the financial flows and configured Odoo so that invoicing, income, and expenses are managed centrally. We sat down with her accountant a few times for this (who has since referred us to another client, more on that soon :) ). This implementation also went off without major obstacles. She now has real-time insight into her financial situation, something that previously required manual work (or once a year, the annual statement) or spreadsheets.

The scheduling module was the most ambitious part. Her practice had very specific needs: different treatment types with different durations, buffers between appointments, and the option for patients to book online themselves, while Sofie also needed to be able to add appointments to her calendar manually (for the less digital patients who call in).

Honestly, this module brought some unexpected technical complexity that we hadn't fully anticipated. The calendar didn't meet Sofie and Bart's requirements at first, so we tried an Outlook integration. That way, Sofie could use her Outlook calendar instead of the Odoo one.

After a while, we decided to go with Odoo's own calendar anyway, since we wanted to keep everything within one platform. The link between the online booking tool, the internal calendar, and the website module was set up quickly after that. Then we moved on to the automatic emails for patients and fully configured those as well. Our back-and-forth about how to handle the calendar caused a small delay in the project.

In the end, we landed at a working final product. The appointment scheduling now works exactly as intended. Patients book online via kine-sofie-stichelbout.be/afspraak and receive the right emails, and Sofie manages her entire schedule from one clear system.

After implementation, we delivered a short training so Sofie could work with Odoo confidently herself.

The result

Today, Sofie uses her Odoo environment every day. No more scattered licenses, no more duplicate data entry, no more lost appointments. One platform for her website, accounting, and scheduling.

So far, Sofie is happy with how the collaboration with ODILA has gone. As she put it in her feedback:

"The team at ODILA is genuinely skilled. They really listened to what we expected. They're absolute stars."

The fact that she uses her database every day is, to us, the strongest proof that an implementation has succeeded. Going forward, we're still here for her and we'll make sure the database keeps running optimally.

What we learned

Every implementation teaches us something. With Sofie, it confirmed that communicating openly about challenges strengthens trust rather than undermining it. The small delay on the scheduling module wasn't a failure. It was a realistic part of a project that was technically difficult.

For anyone considering going digital: it pays off. One integrated system saves a lot of time and gives you an overview you'll never get from separate tools.
